Withdrawal Policy

Families may, at times, need to withdraw their child, and ViVi – The Bear School ensures that this process remains clear, respectful, and well-communicated.

At ViVi – The Bear School, we understand

that there may come a time when families need to withdraw their child due to relocation, personal change, or evolving circumstances.

 

We understand that such decisions are not always easy, they often carry both emotional and practical weight. Our withdrawal process is designed to approach this moment with empathy and professionalism, ensuring that families feel supported while the school maintains transparency and order.

 

By clearly outlining each step, we aim to make the process smooth for both the family and the administration. This helps us responsibly manage class transitions, allocate resources, and plan for new admissions without disrupting the rhythm of the classroom community. Above all, we remain grateful to every family that becomes part of the ViVi journey, even if their time with us is brief.

NOTICE PERIOD

Parents who wish to withdraw their child must submit a written notice at least two months in advance. This written communication must be addressed to the School Manager or Principal. The notice allows the school to manage its academic and administrative planning efficiently. Verbal requests or informal messages will not be accepted as official withdrawal notice.

Fee Liability During Notice Period

Once a withdrawal notice is submitted, the student remains financially liable for the current month and the following two months. This applies even if the child stops attending school during that period. The notice period fee ensures that the school’s operational and staffing commitments remain uninterrupted during the transition.

Refund of Security Deposit

The school commits to refunding the security deposit only after the child has completed a minimum of two modules (12 months) at the school. This ensures that resources, planning, and administrative commitments are balanced across the academic year. If the admission is canceled or withdrawn before completing one full year, the security deposit will not be refundable.

Non-Refundable Fees

The admission fee, annual fee, and monthly tuition fee are non-refundable under all circumstances, including voluntary withdrawal, relocation, change of mind, early cancellation or any other reason. These fees cover administrative and academic costs that are incurred at the time of admission and throughout the academic cycle.

Clearance Process

Before the security deposit can be refunded, parents must ensure that all dues are cleared, library or classroom materials are returned, and any pending forms or documents are completed. Once the clearance process is verified, the refund will be processed within a reasonable timeframe through the school’s accounts department.

Documentation and Record Keeping

Parents are advised to retain copies of all withdrawal-related correspondence for their personal record. The school maintains a transparent, step-by-step withdrawal process to ensure fairness and accountability.
